Terms of Service
Last updated: 25 October 2026
These terms are the agreement between you and [legal entity name] ("Athlete Atlas", "we") for the use of the Athlete Atlas application and website (the "Service"). By creating an account or using the Service you agree to them. The Privacy Policy is part of these terms and explains how information is handled.
1. What the Service is
Athlete Atlas is a player-development record for minor hockey. Coaches record evaluations and goals for the players on their teams; parents and guardians see their own child's record; associations will see whether their teams are evaluating (from the December release). The Service holds information about children and is built around that fact: access is limited by role, a parent sees a child only after the head coach (or Athlete Atlas, on the association's instruction) confirms them, and staff-only material is not shown to families in the app (the Privacy Policy, section 14, explains how a family can ask for it).
The Service is offered to associations under a pilot agreement during the 2026–27 season and to their coaches, parents and guardians at no charge. Some features described in the Privacy Policy as future features are not yet available; we do not promise a date for them.
2. Who may use it
- Adults. You must be 18 or older to create an account, unless you are a player with an account created under section 6.
- Through an association. Coaches join by an invitation code issued by us on their association's behalf; parents join through the team's parent link. You may use the Service only in the role your association gave you.
- Accurate information. You must give true and current information and keep your sign-in details to yourself. You are responsible for what is done with your account until you tell us it has been compromised. Tell us at once, at [incident number] or mattmayer@hotmail.com, if your device or sign-in is lost, stolen or used by someone else.
3. Coaches and other staff
If you are a coach, assistant or other staff member:
- You record evaluations about children on behalf of your association, within its criteria and policies. Write every field as you would be willing to explain it to the family. Use the staff-only fields, when they are available, for notes that help the coaching staff plan; they are not shown to families in the app, and a family can ask for what is written there (Privacy Policy, section 14).
- You confirm a parent or guardian only when you have reasonable grounds to believe they are that child's parent or legal guardian, and never an adult the association has told you must not have access to that child. If you are unsure, ask the association.
- You may use the Service only for the players and teams the association assigned to you. Looking up, exporting or sharing a child's information for any other purpose is a breach of these terms and may be a breach of law.
- You must not use the Service to communicate privately with a child. The Service has no private messaging between adults and children, and you must not use it, or information from it, to start such contact elsewhere. Your association's safe-sport rules (including the rule of two) continue to apply.
- You must not enter health or medical information, or anything you do not have the right to record.
- Keep the phone or computer you use for the Service locked when you are not using it. Evaluations not yet sent stay on it until they are sent, so if it is lost or stolen, tell us at once.
4. Parents and guardians
- You may request access only to a child for whom you are the parent or legal guardian, and your request is a statement to that effect.
- Your access covers your own child only. Sharing your sign-in with others, or using it to see another child, is a breach of these terms.
- Your child's record belongs to your association's program; your rights to see, copy, correct and ask for deletion of it are set out in the Privacy Policy.
- You may end your own access at any time by asking the head coach or writing to us (self-service from the December release).
5. Associations and their administrators
An association's rights and duties, including its accountability for its members' information, who it may authorise, and what it must tell families, are in the Data Processing Addendum it signs with us. An administrator acting for an association represents that they are authorised to do so.
6. Player accounts
When player accounts are available, a player of at least [13] years may have a read-only account created with the approval of an active guardian, who provides the player's email address. A minor's account is governed by the guardian's approval, not by acceptance of these terms. On reaching the age of majority the player may accept these terms and manage their own record, and guardian access pauses until the player allows it.
7. Acceptable use
You must not:
- access or attempt to access information outside your role, or probe, scan or test the Service's security without our written permission;
- upload malicious code, interfere with the Service, or use automated tools to collect information from it;
- use the Service, or information from it, to harass, discriminate against or endanger anyone, or in a way that breaches your association's codes of conduct or the law;
- record false or defamatory statements about a child or an adult;
- share screenshots or exports of a child's record publicly or with anyone who is not entitled to see it.
We may suspend an account immediately where we reasonably believe a child's safety or the security of the Service is at risk, and we will tell the association.
8. Content and ownership
- Your content. Evaluations, goals and notes are written by the association's staff and belong to the association as the record of its program; a family's rights in them are set out in the Privacy Policy. You give us permission to store, display and process that content only to provide the Service.
- Our Service. The software, design, criteria templates we author, and the Athlete Atlas name and marks are ours. You may not copy, resell or build a competing service from them. We do not claim any right in a governing body's or an association's own materials.
- Feedback. If you suggest improvements, we may use them without obligation to you.
9. Evaluations are opinions
An evaluation is a coach's professional judgment at a point in time, recorded to help a player develop. It is not a guarantee of placement, selection or ability, not medical or professional advice, and not a statement by Athlete Atlas. We do not take part in, and are not responsible for, an association's selection or placement decisions.
10. Availability and changes
We aim to keep the Service available and will tell associations of planned downtime, but we do not guarantee uninterrupted access, and the Service is not designed for emergencies or time-critical communication. We may improve or change the Service; if a change removes something associations rely on, we give at least 30 days' notice.
11. Ending your use
You may close your account at any time by writing to us (and, from the December release, from your account page); the Privacy Policy explains what is deleted and what the association keeps. We may close or suspend an account for a breach of these terms, at the association's request for its own staff and families, or if the association's agreement with us ends, in which case we tell the association and follow the Addendum's return-and-deletion steps.
12. Our responsibility to you
We provide the Service with reasonable care and skill. To the extent the law allows, we are not liable for indirect or consequential loss, for the content of evaluations written by associations' staff, for selection or placement decisions, or for loss caused by your breach of these terms; and our total liability to you for any claim in a 12-month period is limited to the greater of CAD 100 and the amount you paid us in that period. Nothing in these terms limits liability that cannot be limited by law, including for death, personal injury or fraud, or your rights under Ontario's Consumer Protection Act where it applies to you.
13. Governing law and disputes
These terms are governed by the laws of Ontario and the federal laws of Canada that apply there. If you have a complaint, write to us first and we will try to resolve it within 30 days. Either of us may then bring a claim in the courts of Ontario; nothing here requires arbitration or stops you from complaining to a regulator, including the Office of the Privacy Commissioner of Canada.
14. Changes to these terms
We may update these terms. We post the new version with its date; on your next visit we show what changed and ask you to accept before continuing, and the version you accepted is recorded with your account. For a change that reduces your rights we give at least 30 days' notice in the Service (and by email once we send email) before it takes effect.
15. General
If a court finds part of these terms unenforceable, the rest stands. These terms, the Privacy Policy and, for associations, the Data Processing Addendum are the whole agreement between us. We may assign these terms to a successor of our business; you may not assign them. Notices to us go to mattmayer@hotmail.com; notices to you go to your account email.
